Job Description

Title: Executive Assistant to the CEO

Full-time (In-Office) 40 hours/week (Monday - Friday)

We are seeking a highly skilled and dedicated Executive Assistant to provide comprehensive support to our CEO. This role requires a strategic thinker with exceptional organizational abilities, a high degree of professionalism, and the capacity to handle confidential information with discretion. The Executive Assistant to the CEO plays a crucial role in managing the CEO's schedule, coordinating high-level communications, and facilitating the smooth operation of executive functions.

Requirements & Qualifications

Experience: Five or more years in an executive assistant role, preferably supporting a C-level executive.

Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint). Exceptional Organizational and multitasking skills.

Communication: Excellent written and verbal communication skills with the ability to interact professionally with senior executives, board members and external partners.

Education: Bachelor's degree preferred.

Attributes: High attention to detail, proactive problem-solving skills, and the ability to work independently under pressure. Solid interpersonal communication skills, organized, detail oriented and conscientious. Demonstrated ability to work successfully independently as well as within teams.

Key Responsibilities
Executive Support: Manage the CEO's calendar, schedule meetings, and handle travel arrangements, as needed. Arranges travel and prepares expense reports. Ensure efficient and effective use of the CEO's time. Register attendees for conferences and conventions.
Communication Management: Act as the primary liaison between the CEO and internal/external customers. Manages phone calls and emails and routs correspondence as necessary. Draft and review correspondence, including reports, and presentations.
Meeting Coordination: Organize and prepare for executive meetings, and other events.
Confidentiality: Handle sensitive and confidential information with the highest level of integrity and professionalism.
Administrative Duties: Oversee operations related to the CEO's activities, including data entry and maintaining organized records.
